Full Service Coordination
Enjoy your special day to the fullest by letting our knowledgeable and experienced staff handle the details for you. To ensure the most successful event, contact us as soon as you begin planning. Your UCSD Catering Sales Manager will help you create a menu, develop an event timeline, and provide a floor plan outlining the event specifics. We also act as the on-site liaison, coordinating venue staff and vendors so that your event runs smoothly.

Menu Design
We love food…and it shows! The complete dedication of each of our team members is apparent in all we do—whether it’s menu design, choosing ingredients, preparation, or presentation. Our chef prepares special menus to complement your day. Once you have booked a date with us, we will prepare a taste test to ensure that the flavor and nuances of your menu choices reflects your style and vision for your special day.

Menu prices are not guaranteed earlier than six months prior to your event. We ask that your menu be finalized at least two (2) weeks in advance of your event.

Alcohol Policy
UC San Diego Catering is not licensed to purchase, distribute, or sell alcohol.

We can accommodate clients in the following manner:

• UC San Diego Catering can provide a or licensed bartender or server for internal (recharge) clients who serve wine and beer only (no spirits) to parties with 50 or less guests, when the client purchases, stores and delivers their own beverage. Wine and beer must be delivered to the licensed bartender at the event location one hour prior to the event start time. Client must remove all alcoholic beverages at the conclusion of the event.

• UC San Diego Catering clients wishing to serve beer, wine, and spirits to parties with 51 or more guests must contract directly with a third party licensed beverage vendor for purchase, storage, and delivery of alcohol. The client must make all payments for alcohol and alcohol service directly to the licensed vendor. Client must remove all alcoholic beverages at the conclusion of the event.

• UC San Diego Catering is happy to direct clients to a beverage service that suits their special event needs. Your sales manager can recommend several high-quality local vendors, including:

Please be aware, it is the responsibility of the event host to obtain all necessary UC San Diego alcohol permits, UC San Diego required signatures and approvals prior to the event.

Important: If you plan to serve beer, wine, or spirits at your event, you must submit a “Use of Alcohol” form to campus police (at least 3-4 weeks prior to event) for approval. http://adminrecords.ucsd.edu/ppm/docs/510-1.13exa.pdf

Professional Staffing
Understanding the importance of your event, UCSD Catering offers attentive, professional staff ready to help you. As all special events are unique, please be aware that many factors dictate the level of labor and staff required. Server, Bartender, Chef, and Captain costs start at a minimum of $100.00 per person, per shift.

Equipment Rentals
All of your equipment rentals are managed with just one phone call. We offer world-class dining and the details that bring it together—flatware, tables and chairs, linens, flowers, décor, and lighting, as well as the kind of personal attention that has made us the preferred caterer for campus, Scripps Institute, and Birch Aquarium.

Depending on your venue choice, UCSD Catering can coordinate the rental of all equipment needed, whether you are hosting a cocktail reception or a full-service dinner. UCSD Catering provides china, silverware, and glassware for $3.00 per person. All charges will be added directly to your final bill.

Confirmation of Space
UCSD offers a variety of spectacular venues. Your Catering Sales Manager can assist you in selecting the perfect location for your wedding reception based on your expected guest count and event details. Take a look at our “Reception Venues” page for the most remarkable locations that UCSD has to offer.

Guest Parking
Parking at UCSD is limited and does require permits. Parking is free of charge Saturdays, Sundays, and University holidays. Reserved spaces, signs, and other special parking arrangements may be coordinated through UCSD Parking at 858.534.0274.

Final Guest Counts
You guest count must be finalized no later than five working days prior to your event. This number will be considered a guarantee not subject to reduction. Your final bill will reflect your guaranteed count plus any additional charges. We cannot guarantee service increases of more than 5%.

Deposits and Billing
Dates are considered finalized upon receipt of the signed contract and a $1,000 deposit. The remaining balance of estimated costs is due two (2) weeks prior to your event date. We accept Visa, MasterCard, cash, checks, or money orders (payable to UC Regents). Please mail to: UCSD Catering, 9500 Gilman Drive, La Jolla, Ca 92093-0028. Any additional charges are due and payable upon service with the credit card on file.
